3. Process Enforcement with Zoho Blueprints
The grant lifecycle involved strict timelines: Application Opens, Phase 1 Review, Phase 2 Submission, and Funding Decision.
- Locked Workflows: We utilized Blueprints to enforce the rubric. An application could not move to “Phase 2 Invited” unless the review committee completed specific scoring criteria regarding community impact and organizational capacity.
- Timeline Management: The Blueprint tracked the status of every application, ensuring the team met the “spend-by” deadlines required by federal ARPA regulations.
4. Advanced Security & Accessibility Controls
Because the review committee consisted of external city officials and internal program managers, we utilized Zoho’s native Accessibility Controls.
- Role-Based Views: We configured Data Sharing Rules so that external reviewers could see the “Project Narrative” and “Impact Goals” needed for scoring, but were blocked from viewing sensitive financial uploads (990s, Fiscal Sponsorship Agreements) restricted to the finance team.
